What’s included

01

A focused setup

Choose one workflow and its behaviors, configure the agreed scope and orient your designated leaders.

02

A plan to measure change

Agree the starting point, observation method and follow-up criteria before coaching begins.

03

A final evidence review

Review recorded behaviors, completed follow-ups and remaining coaching needs with your team.

Participants, support, permitted data and launch requirements are defined in the written pilot scope. Integrations are separately scoped.

Who the pilot is for

Site leaders and directors in healthcare, hospitality or retail who have a specific coaching workflow, an approved operational standard and designated leaders who can observe and follow up.

Start with one site and one agreed team. Team members receiving coaching are tracked by site code; supervisors, coaches and reviewers use accounts.

Scope and readiness

GETTING STARTED

Before launch

We rehearse with fictional examples and verify that your team can complete the workflow on its devices.

  1. You bring: a site sponsor, a small participant group, an approved standard and time for observations and review.
  2. We help with: initial configuration, leader orientation and the support agreed in your written pilot scope.
  3. Before launch: test access and the full workflow on your devices, confirm permitted data and agree the baseline and success measures.

Start with a standalone coaching workflow. Connections to POS, HR, EHR or reporting systems are separately scoped. We agree setup effort and launch timing with your team.

ACCESS & LAUNCH READINESS

What you can try today

Available to explore today

The public walkthrough and retail practice lab use fictional examples. The lab saves changes in your browser. Coach roles and handoffs are simulated; records do not sync between people or devices.

Existing authorized testers can sign in to the protected workspace for fictional testing. In isolated testing, we verified that a leader can assign a coach, who can view the original observation, accept the plan and record follow-up. Coaches check the workspace for their assignments.

Who needs an account?

Supervisors, coaches and designated reviewers sign in. In this leader-led pilot, team members receiving coaching are tracked within their site by code and do not need their own login. Their supervisor or coach shares the agreed practice with them and records follow-up in the workspace.

Before an operational pilot starts

We agree the site sponsor, participants, permitted data, retention arrangements, support and success measures. We then verify each required account, site permission and full coaching workflow on your devices, including coach assignment and acceptance.

ILLUSTRATIVE PILOT REVIEW · FICTIONAL DATA

See the evidence behind the next decision.

A sample review for one behavior: ask about room use, budget and timing, then confirm priorities before recommending. Every count below is invented to explain the format; these are not customer results or a live dashboard.

Sample measures for the same behavior and agreed observation method
MeasureFictional evidenceWhat the sponsor can assess
Baseline behavior Demonstrated in 4 of 12 eligible observations Starting performance, with counts rather than a score alone
Later behavior Demonstrated in 9 of 12 eligible observations Observed change; small samples do not establish that coaching caused it
Follow-through 6 of 8 scheduled reassessments completed; 2 overdue Completion and remaining work, separate from behavior judgments
Review decisions Of 6 completed reassessments: 4 demonstrated; 2 continue practice Which plans can close and which need another practice and review
Open one fictional evidence trail
Observation · Day 3 · Associate A
Recommended a sofa before asking about room use or timing. The supervisor recorded the specific action and the missed criterion.
Approved practice · Day 4 · Floor leader
Rehearse three discovery questions and a summary of priorities. Review a new interaction on Day 11 against the same agreed criterion.
Follow-up · Day 11 · Designated reviewer
Asked about room use and budget but omitted timing. Evidence supports continued practice rather than closure.
Human decision · Day 11
Continue practice on confirming timing; reassess on Day 18. Preserve the earlier observation, approved practice and review decision.

We prepare the review with your team from the agreed records and measures. This sample does not promise an automated report or connected sales data. Revenue impact, clinical outcomes and leader time require their own measurement; missing evidence remains visible.

Pilot questions

What happens after 60 days?

Review the evidence together and choose whether to stop, revise or continue. Optional continuation is $500/month for the same agreed scope under a separate signed agreement. No automatic renewal.

Does this replace our LMS or training program?

Proficera connects workplace observations to practice and reassessment. Your existing training content and approved standards remain the foundation.

How much time do leaders need?

We agree the observation and review cadence during setup, then measure actual workload during the pilot. A specific time saving is not guaranteed.

Can we enter patient information?

Do not enter patient information (PHI). We agree permitted data, site access and retention before an operational pilot starts.

How we choose a behavior

Together, we select one coaching workflow and its observable behaviors from your operational standards. Each behavior has a focused practice and a clear reassessment criterion. A supervisor reviews the evidence and decides whether improvement has been demonstrated.

60-day timeline

  • Before Day 1 (Setup & Readiness): Complete the checks in Scope and readiness.
  • Days 1–10 (Baseline), then Days 11–45 (Active Coaching): Establish usual practice using the agreed measures, then run focused coaching and reassessment. Supervisors capture observations, approve practices and record follow-up. Human approval is required before a practice becomes active.
  • Days 46–60 (Maintenance & Final Review): Check whether behaviors are maintained, finish due reassessments and review results and leader workload. Choose whether to continue, revise or stop.

After the Pilot

Continued use is optional at $500/month for the same agreed site and team scope, billed month to month under a separate signed agreement. The pilot does not renew automatically. Additional sites, expanded scope and integrations are quoted separately.

What you’ll review at day 60

We prepare a pilot review with your team using the recorded evidence and agreed measures. It summarizes adoption, completed follow-up and remaining coaching needs to inform the next step. Revenue, cost savings and clinical outcomes require separate measurement.
